Purpose of the Position
The Language Centre Administrative Officer will provide high level administrative support to the Centre for Australian Languages and Linguistics (including the Pertame School) and the language activities within the Higher Education and Research Division. The position will support the day-to-day operations of the Language Centre by assisting with purchasing, payments, acquittals, promotions, travel bookings, timesheets, vendor forms, support for language consultants and organising meetings and events. It will support the language centre by setting up and maintaining administrative systems to support reporting, resource development and promotion of activities and resources, and other duties as required.
Duties
* Provide day to day administrative support to CALL, including providing support for staff, language consultants, visitors and enquiries
* Maintain and, where necessary, assist with setting up administrative processes and systems, including file management systems, office asset/equipment requirements and borrower register in order to support a well organised team.
* Assist with purchasing items or services by obtaining quotes, raising purchase orders, following up on invoices and related documents, as per Finance requirements.
* Assist with credit card acquittals using the online Expense 8 system and maintain accurate records of transactions.
* Assist with travel arrangements for staff, language consultants, students or others as required.
* Assist in coordination where large and small events are involved
* Assist with grant administration and acquittals by updating tracking spreadsheets and other tasks.
* Undertake various administrative tasks, including student liaison and data entry, relating to Language certificate course delivery.
* Liaise with HERD team personnel, appropriate Institute staff and external groups as required, organise meetings and take minutes where required.
* Support the language team with promotion of activities, resources and services.
* Undertake other reasonable duties as directed by your line manager.
Selection Criteria - Essential
1. Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Indigenous Australian families, communities, and organisations.
2. Demonstrated experience in the use of computer-based applications such as MS Outlook, Word, Excel, SharePoint, Teams, Audacity and record management systems.
3. Demonstrated commitment to upholding high ethical standards in purchasing and payments, including confidentiality, integrity and honesty in handling financial transactions.
4. Highly effective interpersonal skills including proficient written and oral communication which can be adapted to meet the needs of people from all educational levels.
5. Ability to build strong relationships with both internal and external stakeholders.
6. Demonstrated initiative, reliability and ability to manage workload priorities, and project management skills.
7. Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.
Selection Criteria - Desirable
* Experience in use of government financial systems (Expense 8, GAS)
* Certificate IV in Office Administration/Business/Project Management or equivalent
* An interested in Central Australian Aboriginal Languages
* Driver's licence
* A speaker of an Aboriginal Language
