Senior Administration Officer – Grampians Public Health Unit
Full‑time – Fixed term (12 months with potential for extension).
The Grampians Public Health Unit (GPHU) seeks a skilled Senior Administration Officer to provide advanced administrative support in a dynamic environment and help shape efficient systems that enable high‑quality service delivery across the region.
About the Role
As the Senior Administration Officer you will provide high‑level administrative and operational support to the Director, Operations Manager and the broader GPHU team. Your role will involve significant liaison with internal and external stakeholders, including the Victorian Department of Health, and will require initiative, judgement and the ability to thrive in a fast‑paced environment.
Key Responsibilities
* Provide administration support to the GPHU Director and Operations Manager.
* Facilitate operations of the GPHU.
* Liaise with internal and external stakeholders to support systems and ongoing functions of GPHU (e.g. roster, payroll, finance, IT, environment, equipment, contracts, purchase, accounts payable).
* Develop, design, coordinate and manage a document management system for the Grampians Public Health Unit.
* Coordinate impromptu and scheduled meetings and committees – preparing agendas, taking minutes and tracking actions – and organise events.
* Liaise with senior staff across the region to obtain and present information.
* Provide technical document, spreadsheet and presentation expertise to the GPHU team – creating, editing and formatting executive briefs, templates, presentations, correspondence, advisories, business cases and surveys.
* Manage high‑level access to the DH APPCONNECT system for PHESS and other systems.
* Participate in relevant committees, attend meetings and prepare and submit reports as required.
