As we continue to grow, we are seeking a proactive and highly organized Project Administrator to join our team on a social housing construction project in Beenleigh. This is an excellent opportunity to support a structured project environment while working closely with Project Managers, engineers, and on-site contractors.
Project InformationProject Type: Social and Affordable Housing DevelopmentProject Scope: Construction of 47 social and affordable dwellingsProject Start Date: 02 December 2025Project End Date: 15 February 2027This project requires strong administrative coordination to support documentation control, stakeholder communication, contractor reporting, and compliance tracking across all stages of construction.
Key ResponsibilitiesThe candidate in mind will be expected to perform the following duties that include but are not limited to:
* Project Coordination: Assist Project Managers in coordinating day-to-day administrative and operational tasks for the Brisbane social housing project, ensuring timelines, budgets, safety, and quality standards are strictly adhered to.
* Contract & Variation Management: Develop, review, and negotiate contract variations, work orders, and service agreements with contractors and suppliers, ensuring compliance with project scope and company procedures.
* Stakeholder Communication: Act as the primary point of contact for internal and external stakeholders, including council representatives, consultants, suppliers, and residents where applicable, resolving inquiries and issues promptly.
* Documentation & Reporting: Prepare, review, and maintain all project documentation including progress reports, meeting minutes, compliance records, and submissions to clients or regulatory authorities.
* Contractor Oversight: Monitor on-site contractor performance, track work order variations, and provide regular updates and recommendations to senior management to ensure project milestones are met.
* Data Analysis & Project Tracking: Collect and analyse project data such as costs, timelines, materials, and workforce utilisation, producing clear reports on project performance, risks, and outcomes.
* Internal Collaboration: Liaise closely with Project Managers, Architects, Engineers, and site supervisors to ensure smooth communication and alignment on project objectives, deadlines, and resources.
* Office & Site Administration: Support office operations related to the project, including organising meetings, managing filing systems, coordinating equipment deliveries, and arranging site office accommodation or relocations as required.
* Compliance & Quality Support: Ensure all administrative processes adhere to company policies, safety regulations, and local building codes, supporting the project team in achieving high standards of quality and compliance.
Qualifications :• Certificate IV or Diploma in Project Management, Construction Management, or Building and Construction (desirable).• Tertiary qualifications in Construction Management, Civil Engineering, Architecture, or Building Surveying (optional but advantageous).
Skills & Requirements:
* Minimum 1 year experience as a Project Administrator or in a similar role
* Prior experience as a Project Administrator or similar role within construction, civil engineering, or building projects.
* Experience managing contracts, variations, and project documentation.
* Familiarity with social housing or residential construction projects is highly advantageous.
* Strong proficiency in MS Office Suite, document management, and reporting systems.
* Excellent written and verbal communication.
* Ability to liaise effectively with contractors, engineers, clients, and government representatives.
