Primary Objective
The Executive Assistant provides high-level executive and administrative support to the Director – Council Services, ensuring the efficient coordination of meetings, reports, correspondence, and documentation to support the effective delivery of Council operations across all remote communities. The role also acts as a key communication link between the Director, internal departments, and external stakeholders.
KEY DUTIES AND RESPONSIBILITIES :
* Provide professional executive and administrative support to the Director – Council Services, including diary management, email coordination, correspondence, and document control.
* Coordinate, compile, and track monthly Executive Leadership Team (ELT), Local Authority (LA), and Ordinary Council Meeting (OCM) reports, ensuring timely submission of updates, departmental summaries, and required documentation.
* Organise and coordinate Directorate, internal, and external stakeholder meetings, including scheduling appointments, booking meeting rooms, preparing agendas, taking minutes, and following up on action items.
* Organise and support travel arrangements for the Director and Council Services team, including preparing detailed travel itineraries, Journey Management Plans, and accommodation and flight bookings.
* Assist with preparing reports, tenders, business cases, project updates, and briefing notes as directed by the Director.
* Maintain confidential records and documentation in accordance with Council policies and procedures, managing both paper and electronic filing systems.
* Liaise with internal departments (Infrastructure, People & Culture, Finance, Governance) to ensure coordination and timely responses to requests and reporting deadlines.
* Support the development and monitoring of departmental projects, work plans, and community service delivery schedules.
* Ensure office and shared areas are professionally presented and liaise with contractors and service providers as required.

* Undertake other reasonable duties as directed by the Supervisor.

* An attractive remuneration package $90, Base : $78,178.32)
* 6 weeks' Annual Leave accrued per year;

* 15 days Personal Leave accrued per year.
