Primary objective
Provide efficient and effective functioning of the Northern Australia Development Office facilities and provide executive level
administration support and coordination to the General Manager Policy, Strategy and Insights and staff to assist the division to
operate effectively.
Context statement
Northern Australia Development Office – NADO is an office and meeting space designed as hubs to support industry, investors
and the private sector interested in doing high-level business in Northern Australia. They feature executive facilities for high-level
strategic meetings for industry, investors, private sector and government. NADO is a hub for business and industry involved in
progressing development across Northern Australia. A number of key industry associations and Australian Government agencies
including the Office of Northern Australia and Major Projects Approval Agency are co-located in the office.
Key duties and responsibilities
1. Coordinate the day-to-day operations of the NADO facility, effectively organise all facility related works including the
facilitation, coordination and scheduling of meeting room bookings and providing support to stakeholders.
2. Ensure the effective management of facilities' contract services including building maintenance, security, cleaning, waste
management and stationery.
1. Work collaboratively within the Policy, Strategy and Insights division, providing executive level assistance to the
General Manager, including word processing, diary and email management, professional receptionist support and travel
arrangements.
1. Maintain strong and effective relationships with all levels of staff within the agency, external agencies, and outside
organisations, to assist in the smooth day to day operations of the agency's activities.
1. Maintain effective security over confidential and sensitive records and documentation.
Selection criteria
Essential
1. Experience in facility operations or office administration.
2. Proven successful experience in providing administrative support to an executive; with a high attention to detail, sound
judgement, the ability to maintain confidentiality and a clear understanding of the need for tact and diplomacy.
3. Prior experience operating in a fast-paced environment with strong organisational and time management skills; with
demonstrated ability to prioritise tasks, work independently with minimal supervision and work under pressure.
4. High level of motivation and ability to monitor and meet changing priorities and deadlines.
1. Sound knowledge in computer systems, records management and major business systems, or the ability to obtain quickly.
2. Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate
professionally and effectively at all levels and with people from diverse backgrounds.
