Key responsibilities:
Onboarding
* Process new starters through BDO systems
* Communicate new starters to Shared Services (e.g. Payroll, IT, Finance & Facilities)
* Coordinate new starter induction, including undertaking the P&C induction and organising the IT induction. Make note of the employee's Manager and assign a Buddy. Provide advice to the Manager regarding the employee's Induction Plan.
* Monitor probation milestones, including conducting the one-month new starter meeting (obtaining e-learning transcripts) and check in with the Manager at three months and prior to the end of probation
Staff Movements
* Maintain the local P&C WIP/staff movement records
* Coordinate and create letters for internal staff movements and changes of employment conditions
* Communicate staff movements and changes to wider Shared Services team
* Inform Payroll of changes in employee conditions
* Promote and coordinate the process for formal flexible working arrangements
* Assist P&C Advisers with the parental leave support program if required, including meeting with parental leavers to plan their departure and return plans
Engagement and Benefits
* Coordinate engagement surveys and assist P&C Advisers with engagement initiatives
* Coordinate and promote BDO's benefits
People Systems and Processes
* Function as the main point of contact on all people related systems
* Deliver user training on people related systems including the preparation of training materials
* Maintain digital P&C records including employee files
* Coding team expenses in BDO's Finance system
WHS and Wellbeing
* Maintain records of Emergency Wardens, First Aid Officers and Mental Health First Aid Officers, including meeting attendance and certifications
* Coordinate with the Facilities team the maintenance of the First Aid kits
* Report employee injuries and accidents and coordinate workers compensation claims as required
* Arrange ergonomic workstation assessments and process recommendations as required
* Work with the national committees to coordinate and promote P&C initiatives, including assisting with the scheduling of the annual events calendar
Reporting and Projects
* Assist in preparing monthly executive reports
* Prepare and submit people reports, including gender reporting, leave liability, CPD reports and other ad hoc P&C reporting
* Undertake project work in consultation with the broader P&C team
Remuneration and Reward
* Provide assistance with the annual remuneration review process as required, including managing the letter preparation and distribution process
* Assist with the coordination of recognition awards and other employee reward and recognition programs
* Coordinate the commitment award letters and bonuses
Professional Study and CA Program
* Function as the main support contact for coordinating professional study programs
* Coordinate the logistics for enrolment, study support (financial and leave) and results
Off boarding
* Commence off boarding process, including notifying the relevant Shared Services teams via BDO systems
* Send departure email to exiting staff
* Review reimbursement obligations for exiting staff
* Assist P&C Advisers with exit interviews if required for junior staff and report information back to PIC and OMP
* Collect exit checklists and report to Payroll
General
* Keep stakeholders informed of the current status of work, problems encountered and how these problems can be resolved
* Serve as a point of contact for P&C related queries, including monitoring and responding to emails via the national BDO People shared inbox
* Provide ad hoc support to members of the P&C team
* Assist with other departmental activities and projects as appropriate and practice the principles of excellent client service at all times
About You
* Excellent communication skills, both verbal and written
* Demonstrated initiative, time-management & organisational skills
* Embodies attention to detail and brings a positive, self-motivated approach to the role
* Ability to maintain professionalism and confidentiality of information
* Familiarity with Microsoft Office products, such as Outlook, Work, Excel and PowerPoint
* Tertiary qualification in Human Resources, Organisational Psychology or equivalent
* 1+ year previous experience in a professional environment providing support to internal stakeholders
