About the role
The Administration Officer works closely with academic and professional staff to provide efficient administrative support for the national School of Health Sciences. Reporting to the Administration Coordinator, this role operates under routine supervision to ensure smooth and effective day-to-day operations.
Key Responsibilities
* Provide effective and efficient administrative support within the School of Health Sciences.
* Coordinate meetings, prepare minutes, and manage related correspondence.
* Accurately handle detailed information, including data entry, maintaining spreadsheets, managing correspondence, and preparing written communication under direction.
* Deliver excellent customer service to students and stakeholders, ensuring timely responses to queries.
* Compile reports and assist with typing correspondence, submissions, statistical summaries, data sets, and other required materials.
* Maintain internal databases and registers and manage day-to-day office requirements.
Qualifications, skills & experience
* Completion of a diploma-level qualification or an equivalent combination of relevant experience and/or education/training.
* Demonstrated administrative experience, preferably within tertiary or other education sectors.
* Proficiency in software packages such as Microsoft Office Suite (Word, Excel, Visio), Adobe, InDesign, and timetabling programs (e.g., Allocate, Sonia).
* Strong communication (oral and written) and interpersonal skills, with the ability to liaise effectively and professionally with a wide range of stakeholders.
* Ability to exercise initiative and sound judgment, working flexibly in a dynamic environment with competing priorities and deadlines.
* Proven ability to prepare accurate, high-quality documentation with exceptional attention to detail.
