I am currently recruiting for a permanent, full-time dedicated front-of-house professional and someone who brings initiative, confidence, and warmth to every client interaction. This role plays a pivotal part in supporting the day-to-day operations of the Centre Management team and delivering excellent service to tenants and visitors alike. Reporting directly to the Centre Manager, the Receptionist / Secretary will be the first point of contact at the Centre Management office. You will be responsible for a range of administrative duties including handling reception, managing tenant communications, assisting with leasing enquiries, maintaining insurance documentation, supporting financial processes, and ensuring the smooth flow of daily centre operations.

Your new role
* Handle all general reception tasks, including answering phones, attending to customer and tenant enquiries via emails.
* Collect and distribute incoming mails or general enquiry emails
* File documentation for Centre Manager, Marketing Manager, and Operations Manager as directed.
* Build strong relationships with retailers and clients
* Keeping general office housekeeping of kitchen, reception, stationary room, etc. as required.
* Complete Public Liability Incident Reports
* Download CCTV footage for the Head Office to forward to the insurance company.
* Maintain and update the Lost Property Book for all found items.
* Receive and receipt tenants' rental payments and allocate to correct account codes.
* Reconcile petty cash and submit reconciliation form, dockets, and approved session edit listing to the Head Office.
* Bank received cheques on the same day
* Order stationery supplies with the Centre Manager's approval.
* Maintain up-to-date Public Liability Insurance Certificates for tenants and contractors
* Regularly update administration forms and after-hours contact lists.
* Verify and update non-financial information, e.g. tenant contact details
* Work collaboratively with team members and stakeholders to ensure system/data integrity, efficient information flow and to drive portfolio-wide excellence and efficiencies through consistency of approach, reporting and transfer of experiences and learning.
* Comply with Company procedures related to Workplace Health and Safety and Risk Management.
What you'll need to succeed
* Previous experience in reception, admin, or customer service
* Excellent communication and organisational skills and presentable
* High attention to detail and accuracy in data handling
* Proficiency in property management software Yardi is desired but not essential.
* Ability to work independently and manage multiple deadlines
* Intermediate MS Office skills (Excel, Word, Outlook)
* Professional, proactive, and team-oriented mindset
