Join Our Team – Admin/Receptionist (Part-Time, Remote)
Invision Psychology is currently seeking a reliable, organised, and compassionate administrative/reception assistant to join our growing team. This role is ideal for someone who enjoys working in a support role within the mental health field and is looking for flexible, part-time hours.
The position offers 10–15 hours per week, primarily working remotely. Occasional in-person hours may be required. This role plays a vital part in the smooth running of the clinic, ensuring clients feel supported and that our psychologists' schedules run efficiently.
About the Role
As our admin/receptionist, you will be the first point of contact for new and existing clients. Your role will involve managing phone and email enquiries, scheduling appointments, maintaining accurate client records, and supporting the psychologists in day-to-day operational tasks.
You will need to be confident in managing multiple tasks at once, using practice management software, and communicating in a warm and professional manner. A quiet, distraction-free work environment is essential, particularly for taking confidential client phone calls.
Key Responsibilities:
* Responding to new client enquiries by phone and email
* Managing calendars and appointment scheduling for multiple psychologists
* Sending intake forms and maintaining client information in secure databases
* Liaising with clients, GPs, and other healthcare providers as needed
* Supporting psychologists with administrative follow-up and file management
* Ensuring client privacy and confidentiality at all times
What We're Looking For:
* Previous experience in an administrative or reception role (preferred, especially in health or allied health settings)
* Excellent verbal and written communication skills
* High level of organisation and attention to detail
* Proficient in using digital tools, including email, online forms, and scheduling software
* A quiet home workspace suitable for making phone calls
* Ability to work independently and manage time effectively
Desirable but Not Essential:
* Familiarity with practice management software such as Power Diary, Halaxy, or Cliniko
* Understanding of privacy and confidentiality requirements within a healthcare setting
* Experience handling sensitive client interactions with empathy and discretion
