The role

The Supply Chain Co‐ordinator is responsible for the effective and efficient management of the Procure‐to‐Pay (P2P) process. This role ensures purchase orders are raised accurately, goods and services are receipted correctly, invoices are reconciled in a timely manner, and procurement reporting is maintained to support financial control and governance. The position plays a key role in maintaining strong internal controls, ensuring compliance with company procurement policies, and supporting operational stakeholders.

Key Duties and Responsibilities
* Raise and issue purchase orders in accordance with approved budgets and Pacific Blue policies.
* Ensure purchase orders are accurate, detailed in description, appropriately authorised, and coded to correct cost centres/accounts.
* Process goods receipting, once approved by internal departments, into the system to confirm delivery of goods and services.
* Reconcile supplier invoices against purchase orders and goods receipts (3‐way matching).
* Investigate and resolve discrepancies between purchase orders, invoices, and receipts.
* Liaise with suppliers and internal stakeholders to resolve invoice or delivery issues.
* Ensure timely processing of invoices to support accurate and prompt payment cycles.
Purchase Order Administration
* Maintain accurate and up‐to‐date purchase order records.
* Run and distribute regular purchase order reports, including Open PO reports, Outstanding goods receipt reports, Uninvoiced PO reports and Commitment reports.
* Monitor open purchase orders and follow up on outstanding deliveries or receipts.
* Close completed or obsolete purchase orders in a timely manner.
Compliance & Governance
* Ensure procurement activities comply with company policies and financial delegations.
* Support audit requirements by maintaining accurate documentation and audit trails.
* Identify opportunities to improve process efficiency and internal controls.
* Provide procurement process guidance for internal staff.
* Support suppliers with purchase order and payment enquiries.
* Build and maintain effective working relationships with internal departments and external vendors.

This is a full‐time position based in Melbourne.

To be successful in this role you will have
* 3 to 5+ years of procurement, purchasing, accounts payable or supply chain experience is common for mid‐level positions.
* Diploma or Certificate IV in Procurement and Contracting or Business is widely regarded and can support a mid‐level role, particularly when combined with practical experience.
* Vocational Education and Training (VET) qualifications such as Certificate IV or Diploma in Procurement/Contracting are common stepping stones.
* Sound understanding of Procure‐to‐Pay processes.
* Strong attention to detail and high level of accuracy.
* Ability to reconcile financial information and investigate discrepancies.
* Strong organisational and time management skills.
* Intermediate Excel skills and ability to generate reports.
* Good communication and stakeholder management skills.
