Your new role
This role is a key member of the team and will provide administrative, operational and systems maintenance support the team.
Role responsibilities
Perform administrative duties that include, but are not limited to:
- Coordinating agendas and papers for internal and external meetings, to maximise the time and productivity of the Team.
- Organise meetings, record and follow up action items and distribute to the relevant attendees in a timely manner.
- Coordinating, drafting and reviewing correspondence, including Committee & Board Papers
- Assisting with the preparation of internal weekly team & project meetings.
- Assisting with the preparation of monthly reports with a high level of accuracy.
- Assisting with HR recruitment by processing recruitment requests.
Support ongoing operational requirements including, but are not limited to:
- Raising new suppliers, raising and maintaining purchase orders.
- Transmittal of critical and confidential information.
- Provide support to special projects.
- Assisting with the drafting of Procurement documents
- Completing finance tasks, including petty cash claims, reconciliations and raising and maintaining purchase orders.
- Supporting the preparation of reports, including preparing and delivering routine reporting for the different team functions.
- Providing project support, including but not limited to creating and maintaining databases, managing the project mailbox and keeping a record of team leave and immunisations.
- Assisting in the development, management and reporting of team's budgets.
- Assisting with the preparation of monthly project updates with a high level of accuracy.
Systems maintenance
- Development and maintenance of high-quality administrative systems which support the delivery of the service.
- Responsible for assisting with the management of TechOne for the team.
