Job Title: SAP Program Project Coordinator
About the Role:
This is a unique opportunity to join our team as an organized and proactive SAP Program Project Coordinator. You will play a vital role in the successful delivery of our SAP ERP transformation program.
* Schedule Management & Planning:
o Maintain and regularly update the integrated master program schedule using Microsoft Project and JIRA, ensuring all workstream plans are aligned and key milestones are tracked.
o Coordinate with workstream leads to adjust timelines and dependencies as needed, providing transparency around any changes to the overall program plan.
o Lead the maintenance of the program's RAID log (Risks, Assumptions, Issues, Dependencies), and ensure all entries are up-to-date, well-documented, and assigned to owners for action.
o Coordinate and facilitate regular RAID review meetings to monitor the status of risks and issues, driving accountability for mitigation actions, and escalating critical items to program leadership as necessary.
Key Responsibilities:
* Meetings & Coordination:
o Organize and run recurring project status and governance meetings, including preparing agendas, scheduling attendees, and recording clear minutes, action items, and decisions.
o Collaborate across the Core ERP, People & Payroll, and Inflight IT Projects to ensure interdependencies are managed and information is shared effectively, maintaining strong communication channels between teams.
* Onboarding & Team Support:
o Develop and manage the onboarding process for new program team members, including preparing orientation materials and coordinating introductions to team processes, tools, and key stakeholders.
o Act as a central point of support for the program team by helping new and existing members navigate program tools and procedures and maintaining a repository of key program documentation.
* Reporting & Tools:
o Support the preparation of program status reports and dashboards for various audiences, consolidating inputs from all workstreams and ensuring information is accurate and presented clearly.
o Utilize project management tools and systems to capture updates, track deliverables and milestones, and generate reports.

* Required Skills and Qualifications:
o Tertiary qualifications in Business, Project Management, Information Systems, or related field.
o Formal project management training or certification (e.g., PRINCE2, PMP).
o Strong proficiency in Microsoft Project, JIRA, SharePoint, and Excel.
o Ability to effectively organize and facilitate structured meetings.
o Strong interpersonal skills with the ability to influence stakeholders at all levels without direct authority.
o Solid understanding of project governance practices and RAID principles.
