Port Hedland Air Freight (PHAF) is seeking a reliable, organised, and customer-focused Administration Officer to join our professional air freight and logistics team based at Port Hedland Airport.
Full-time position. Hours generally between 8:00am and 6:00pm, Monday to Friday, with some rotating weekend work.
Key responsibilities include liaising with major freight and aviation partners such as Australia Post, FedEx Express, Qantas Freight, Virgin Cargo, StarTrack, and Team Global Express, as well as supporting daily freight operations and maintaining smooth flow of freight documentation, customer communication, and administrative processes.

Key Responsibilities
* Answer customer enquiries via phone, email, and in person
* Process freight documentation, consignment notes, and manifests
* Coordinate bookings, dispatches, and freight movements
* Data entry and record management using freight and tracking systems
* Liaise with drivers, warehouse staff, airlines, and courier partners
* Monitor incoming and outgoing freight schedules
* Ensure compliance with aviation, security, and safety requirements
* Assist with invoicing, billing queries, and general office administration
* Support depot operations and assist with other duties as required
Who We're Looking For
* A well‑organised individual with strong attention to detail
* Excellent communication and customer service skills
* A reliable team player who can work independently when required
* Comfortable working in a fast‑paced, compliance‑driven environment
* Confident using Microsoft Office (Outlook, Word, Excel)
* Ability to prioritise tasks and meet deadlines
Essential Criteria
* Australian working rights (no sponsorship available)
* Clear national police clearance (no convictions within the past 10 years)
* Ability to pass a pre‑employment drug and alcohol screening
* Previous experience in administration, logistics, transport, or freight is highly regarded but not essential
