About the Role

We are seeking an External Communications Coordinator for a Casual opportunity to join our friendly and dedicated team at Tasmania Divisional Headquarters .


Purpose of the role

This role plays a vital part in supporting the External Communications Manager to ensure the smooth and successful delivery of a diverse range of communications functions across TAS. You’ll build and maintain trusted relationships with internal and external stakeholders, upholding confidentiality and professionalism. Additionally, you’ll lead in developing and implementing a tailored, state-based social media plan in collaboration with the National Social Media Team to amplify local stories and strengthen community engagement.


Key Roles and Responsibilities

Join a dynamic, purpose-driven role where your organisational and people skills will shine. As support to the External Communications Manager, you'll help ensure our communications function runs smoothly and effectively.


Support That Matters

* Provide administrative support to the External Communications Manager for effective office management.
* Coordinate daily business activities, including reviewing diaries, emails, meetings, and travel demands.
* Develop reports, correspondence, documents, proposals, and presentations.
* Attend meetings and take minutes as needed.
* Organise Communications and TAS Division events as directed.


Smart, Efficient Administration

* Coordinate meetings, workshops, and committee meetings with attention to detail.
* Assist with communications to the Corps for reporting, reconciliation, and fundraising campaigns.
* Act as liaison between the External Communications Office and Donor Care Services.
* Manage financial processes including expenses, payroll, and invoices via Service Now.
* Maintain records, promotional materials, office supplies, and filing systems.


Meaningful Stakeholder Engagement

* Maintain and enhance relationships with stakeholders.
* Build rapport with visitors to the External Communications Office.
* Coordinate meetings, visits, and engagements with stakeholders.
* Work collaboratively with executives, staff, and EAs for effective event and meeting planning.
* Provide a professional, friendly point of contact for engagements.


Social Media with Impact

* Develop and implement a state-based social media plan with the National Social Media Team and local Division.
* Elevate local content to strengthen community presence.
* Manage social media interactions during working hours, ensuring timely responses and engagement.
* Bring stories to life through consistent, community-driven content.


About You

* A Certificate III in Business Administration (or equivalent) or relevant experience.
* Background in Public Relations is highly regarded.
* Proven experience in administration management.
* Exceptional communication skills, including editing, proofreading, and minute-taking.
* Strong organisational skills to manage multiple priorities.
* Intermediate to advanced proficiency in software such as Microsoft Office (PowerPoint, Excel, Word, Outlook).
