The role

The Office Manager plays an integral part in ensuring that Capability Support continues to deliver personalised trauma-informed and professional services that improve the lives of people that we support. We achieve this by ensuring our clients are at the centre of everything we do and that we provide more support with less admin.

The Office Manager works closely and in partnership with Capability Supports Key Management Personnel and leaders across the organisation to ensure we exceed the expectations of staff and clients with how they experience their interactions with us. This may be as simple as greeting a nervous visitor with a warm welcome or as critical as organising a plumber to fix a gas leak.

The responsibilities

Support day-to-day operations of the Capability Head Office and placements including through:

* Liaison with relevant suppliers and vendors on the procurement and delivery / acquisition of a variety of goods and services in accordance with contracted requirements.
* Manage placement maintenance and repair requests to resolution
* Oversee the provision checking and resupply of fire safety resources
* Oversee relevant workplace improvements and corrective actions
* Manage clinical service client intake and complete basic billing tasks ensuring all records are kept to a high standard and client confidentiality upheld
* Manage reception duties including greeting visitors and handling incoming calls
* Manage allocated resources participate in budget planning
* Provide secretariat / administrative support to the Board of Directors and Key Management Personnel including for corporate events and stakeholder meetings
* Support delivery of internal events including team inductions on-site training and staff meetings
* Identify and work to mitigate risks that will impact on own and organisational outcomes
* Provide oversight and on ground support for housing functions
* Support accurate input and data entry of time sheets and other crucial financial information.
The requirements
* Experience working in administration
* Strong organisational and time-management skills
* High attention to detail and accuracy
* Friendly and professional demeanour
* Strong written and verbal communication skills
* Ability to multitask and prioritise in a busy environment
Essential
* Ability to maintain client and stakeholder confidentiality
* Valid WWVP Registration or ability to gain this
* Valid CYF clearance or ability to gain this
* Valid police check or ability to gain this
* Drivers License available insured and registered vehicle
