Selection Criteria

SC1 Demonstrated capacity to lead an office team, including capacity for directing the work of others.

SC2 Demonstrated knowledge and experience in respect to human resource, occupational health and safety, facility management and financial management records systems.

SC3 Sound knowledge of financial management legal requirements and practices, including the capacity to produce reports and provide advice in respect to those reports as well as the legal and DET requirements around OHS, facilities and HR.

SC5 Exemplary written and verbal communication skills.

Role

Some attendance during the holidays will be required for this position.

An education support class position at level 2 will have a primary responsibility for the management of significant areas or functions within the school to support the educational services being provided to students. In exercising the responsibility an education support class position at level 2 will have the authority to make all significant decisions relating to the program, budget and staff relating to their area of designated responsibility within the framework of the school's strategic plan, policies and budget but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.

Supervision of students cannot be required except where it is an integral part of the employee's position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

An education support class position at level 2 will contribute to the overall management of the school through involvement in policy formulation and decision making.

Responsibilities

* Serve as a member of the Executive Leadership Team, providing strategic financial, administrative, HR and operational advice to support whole-school decision making.
* Provide leadership and direction across the Administration, IT, and Facilities teams to ensure high-quality service delivery and operational excellence.
* Manage the school's administrative support systems, including digital platforms, workflow priorities, and the integrity of student, staff, and school records.
* Deliver high-level administrative, research, and executive support to the Principal, including preparation of minutes, documentation, and attendance at relevant meetings.
* Oversee the full lifecycle of student records management, including admissions, registrations, enrolments, and transfers.
* Ensure appropriate administrative support for school events, functions, and projects.
* Oversee front-of-house operations, general administration, and day-to-day financial processes.
* Manage procurement and provision of administrative supplies.
* Coordinate census reporting and booklist preparation.
* Contribute to financial planning and decision making at a whole-school level.
* Establish, record, and monitor the College budget, ensuring alignment with strategic priorities.
* Manage the Student Resource Package (SRP), providing timely advice to the Principal, completing annual and interim reconciliations, and ensuring accurate staffing allocations.
* Develop and implement strategies to ensure efficient and responsible use of school funds.
* Maximise school revenue and optimise the use of financial resources.
* Support program budget leaders throughout the year and during budget development.
* Oversee accounting processes (including CASES21), ensuring all funds and investments comply with Treasury and DET requirements.
* Administer government grants and other school income streams.
* Oversee accounts payable and receivable, ensuring compliance with DET guidelines and internal policies.
* Complete end-of-month and end-of-year financial procedures.
* Review College charges and financial policies annually.
* Assist with the preparation of funding submissions for the Leadership Team and School Council.
* Manage FBT and GST compliance and reporting.
* Manage sundry debtors, including follow-up of outstanding charges.
* Address family financial queries and establish payment or support plans where required.
* Advise the Principal Team on staffing requirements, ensuring compliance with policy, legislation, and industrial agreements.
* Manage recruitment processes via Recruitment Online.
* Oversee staff leave management.
* Manage payroll validation and related payroll functions through EduPay.
* Oversee school-level payroll processes and ensure accurate personnel records.
* Provide advice to staff regarding employment conditions.
* Conduct performance and development reviews for administration staff in partnership with the Principal.
* Monitor the SRP Planner fortnightly, ensuring timely submission of salary mischarge corrections and short-term leave replacement claims.
* Manage WorkCover reporting, monitoring, and ongoing case requirements.
* Oversee the Facilities team to ensure school grounds, buildings, and assets are maintained to a high standard, remain safe and secure, and meet the needs of the school community.
* Attend School Council and Finance Sub-Committee meetings.
* Prepare reports and recommendations on administrative and operational matters for School Council consideration.
* Prepare documentation and briefing materials for School Councillors.
