Cultivate Exercise Physiology is a growing, community-based clinic dedicated to helping people improve their strength, mobility, and overall health through evidence-based exercise.
We are looking for a highly organised, capable Administration Assistant to take ownership of the clinic's day-to-day operations — ensuring everything runs smoothly from the front desk through to systems, processes, and administration behind the scenes.
This is far more than a standard reception role. We're seeking someone who enjoys taking responsibility, thrives on structure and organisation, and wants to play a key role in keeping a small healthcare business operating professionally and efficiently each day.
The Role
You'll support and help run the clinic through:
* Reception and client liaison
* Appointment management and scheduling
* Processing payments and invoicing
* Accurate referral entry and record keeping
* Managing emails and correspondence
* Maintaining and refining internal systems and procedures
* Supporting overall clinic operations and organisation
There is opportunity to grow into light marketing tasks (Canva, social media, content) if that interests you — but this is not essential.
About You
You are:
* Highly organised and detail-oriented
* Confident with computers and learning new systems
* Comfortable handling payments and financial administration
* Friendly, professional, and calm with clients
* Able to work independently and take ownership
* Process-driven — you like things done properly
Experience in medical, allied health, legal, insurance, or professional services environments will be highly regarded.
