Primary objective
Provide high level executive, corporate, administrative, and secretarial support to the General Manager Regions. This role is the first point
of contact for the General Manager's office and is responsible for executive co-ordination of information from various sources across the
division and department, including the regions, to ensure divisional priorities are met.
Context statement
The Regions division brings together key functions that facilitate efficient, safe, agile logistics and infrastructure solutions. These include
the development, construction, and maintenance of government infrastructure.
Key duties and responsibilities
1. Provide a high level of administrative support to the General Manager and the leadership team. Record, track, and oversee the timely
movement and processing of correspondence through the General Manager's office including initiating follow up action on Ministerial
and other matters to ensure deadlines are met.
1. Anticipate the needs of the General Manager including coordinating and providing relevant papers, briefings prior to meetings and
preparing correspondence of a routine nature for the General Manager's endorsement / approval.
1. Monitor the General Manager's emails, correspondence, and calendar, carry out appropriate records management and routine
procurement / purchases, as necessary. Arrange meetings, travel and events as required.
1. Provide advice and assistance to divisional staff in the preparation of high-quality documentation for the General Manager including
coordinating the monthly reporting requirements across the division. Investigate and undertake assigned research tasks as required.
1. Draft correspondence, handle filing, screen telephone calls and visitors, and coordinate scheduling of appointments and meetings.
Additionally, prepare and distribute publications and arrange travel logistics for the Executive.
1. Provide secretariat support and administration in relation to meetings as required, including in the absence of the Executive Officer.
2. Work as an integral part of the team to support the timely delivery of divisional priorities.
Selection criteria
Essential
1. High level experience working in an administrative support role within an executive environment with a proven ability to exercise
sound judgement, particularly in respect to confidential or sensitive matters.
1. Demonstrated exceptional interpersonal, verbal, and written communication skills which result in being able to communicate
professionally, tactfully, and effectively at all levels.
1. High level computer skills with experience in procurement, records management and travel systems, sound writing ability and
demonstrated attention to detail and accuracy.
4. Self-motivated and proactive with highly developed organisational and time management skills. Ability to assess and prioritise matters
to effectively manage the General Managers deadlines and multiple tasks with competing deadlines while working autonomously and
planning for upcoming priorities i.e. events.
1. Ability to use initiative and be innovative and flexible in response to achieving outcomes, undertake research and initiate engagement
with stakeholders to appropriately action tasks. Ability to make recommendations regarding appropriate action to senior officers.
