Cattle Australia is the national peak industry body representing Australia's grass-fed cattle producers. We provide a strong, unified and influential voice for producers, advocating on policy, guiding industry investment, and supporting a resilient and profitable grass-fed cattle sector.
Led by an experienced and progressive Board, Cattle Australia is a small, high-performing organisation with a national footprint. Our team operates across multiple states and works closely with industry, government, research organisations and stakeholders to deliver outcomes for producers and regional communities.
About the Role
This is a newly created, senior operational role that brings together executive office management, board support, and financial administration within a small, purpose-driven organisation.
Reporting directly to the CEO, the Executive Office & Finance Manager plays a critical role in ensuring the smooth, professional and compliant operation of the organisation. The position requires a highly organised, discreet and capable professional who is comfortable operating across executive support, governance processes, financial management and payroll.
This role is well suited to someone who enjoys variety, responsibility and working closely with senior leadership in a small but nationally significant organisation.
Key Responsibilities
1. Executive Office & Board Support
* Provide high-level executive support to the CEO, including diary management, correspondence, briefing materials and coordination of priorities.
* Act as a key point of contact between the CEO, Board, staff, members, service providers and external stakeholders.
* Coordinate Board and Committee processes as support to the Company Secretary, including:
* meeting scheduling and logistics,
* preparation and distribution of board and committee papers,
* minute-taking and action tracking.
* support for governance and compliance documentation.
* Prepare executive correspondence, reports and presentations as required.
* Coordinate domestic and international travel for Directors, staff and committee members.
* Oversee day-to-day office administration and operations, including Canberra office coordination.
* Maintain and administer organisational systems, including CRM and HR platforms.
2. Finance, Payroll & Compliance Management
* Manage day-to-day financial administration, including accounts payable/receivable, expense processing and reconciliations.
* Prepare monthly management reports, budgets, forecasts and cashflow tracking in collaboration with the CEO.
* Maintain the organisation's financial records using Xero, ensuring accuracy and timeliness.
* Administer fortnightly payroll for a small organisation (~10 employees), including:
* salary processing,
* superannuation,
* leave accruals and records,
* payroll reporting and reconciliations.
* Manage payroll-related statutory obligations, including:
* PAYG withholding,
* superannuation compliance,
* fringe benefits tax (FBT) data collation and returns (with external advisors as required).
* Coordinate with external accountants, auditors and advisors on:
* annual financial statements,
* audit processes,
* tax and compliance matters.
* Support HR administration from a financial and compliance perspective, including onboarding, contracts and payroll changes.
About You
You are a highly capable, trusted professional who combines strong organisational skills with sound financial and payroll experience. You are comfortable working independently, managing competing priorities, and operating with discretion at executive and board level.
You will bring:
* Demonstrated experience in executive office management, finance administration or a similar senior operational role.
* Proven payroll experience, ideally in a small to medium organisation.
* Strong proficiency with Xero, Microsoft 365, and CRM/HR systems.
* Sound understanding of payroll compliance, superannuation and FBT obligations.
* Excellent written and verbal communication skills.
* High attention to detail and strong organisational capability.
* Professional judgement, discretion and integrity.
* Ability to work flexibly in a fast-paced, multi-stakeholder environment.
* Australian work rights required at time of application.
Desirable (but not essential):
* Bookkeeping or accounting qualifications, or equivalent practical experience.
* Experience in agriculture, policy, advocacy, not-for-profit or member-based organisations.
* Familiarity with governance processes and board reporting.
Location
Canberra-based applicants are preferred however, strong remote or hybrid candidates will be considered.
