Please note that this is a 1 year contract position under agency payroll.
This role sits within the Business Process Partner Team and plays a pivotal role as the heart of the company's operations and activities. Responsible for the proactive and reactive administrative partnership support across the ANZ business.
The main areas of responsibility include:
* Enabling the business to maximize productivity by simplifying collaboration and connection between business units & functions.
* Achieving individual goals and objectives as well as working within the larger BPP team.
* As a pool of BPP flexing across customer groups in order to collectively support the team.
* All BPPs will be required to gain proficiency across all systems and processes in order to support the various customer groups and wider BPP team.
* Horizontal Specialism - administrative and marketing support to sales and marketing teams to ensure optimal performance outcomes.
* Maintain relationships with key stakeholders to ensure partnership in communication and pursue opportunities for collaboration.
* Collaborate with other members of the BPP team to provide seamless support for the business.
* Communicate across business units & functions to ensure consistent & compliant processes are maintained.
Marketing Support
* Primary support to ensure key initiatives are delivered on time against key milestones: systems and processes to be developed accordingly.
* Coordinate BU promotional material development including liaising with the agencies, CoManDo approvals, printing, distribution, updating materials, re-approvals/withdrawals, inventory, and warehouse management.
* Assist in the organisation and coordination of BU Health Care Professional (HCP) and Event sponsorships including flight and accommodation bookings, approvals, registrations, promotional stand builds and other related activities including support of approval platform - iEngage.
* Manage and undertake warehouse activities including distributing materials, maintaining inventory lists, stock holdings management/audit and destruction of materials as appropriate.
* Coordinate the mailer process for all BU products.
* Provide support through the iEngage system where required.
* Provide key advice and support to Sales Team for administration of 3rd party engagement with expertise in the iEngage platform.
* Identify processes and approaches to encourage compliance with Ipsen policies and procedures.
* Lead support of sales team for all administrative / logistical queries.
* Assist where required in the provision of IT and IT systems support for the sales team by redirecting enquiries to the most appropriate resources (EG – Ipsen Service Portal) or by resolving issues directly with internal stakeholders.
* Assist in the preparation of sales plans, presentations and other documentation and distribute/communicate other information (i.e. sales activity reports) to the sales team as required.
* Manage BU queries and requirements for consumables, materials and starter packs. Act as the BU contact in the management of Sales Representatives storage facilities.
General Admin
* Undertake and arrange travel bookings for BU team members and BU related activities.
* Coordinate, track and update progress of sales and marketing activities (internal and external events, travel sponsorships, staff sponsorships, other) via WIP and/or other reporting methods. Responsible for preparing, processing and distributing ARIBA and Speaker Agreements.
* Responsible for raising commitment requests, raising internal orders, raising purchase orders and good receipting as directed by the budget holder and as outlined per the SOP, retain copies of invoices that are required to be reported to Medicines Australia.
* Coordinate, collate and undertake Medicines Australia reporting requirements as required.
* Prepare, update, maintain and distribute the Brand Calendar to the brand team and the sales team. Undertake a range of administrative tasks (i.e. filing/archiving).
* All BPP's will take shared ownership for managing the company storage units and ensuring documents required to be archived (and destroyed) are done so according to regulation requirements.
* Assist in the coordination of team training and employee induction.
* Providing general office administration and reception duties relief (as required).
Projects and Efficiency Improvement
* Undertake additional projects such as the development and roll out of new systems and processes, supporting internal audits and other organisational initiatives as required at the time.
* Proactively find ways to improve organisational efficiencies and ways of working and to help ensure high levels of optimal output.
Knowledge, Abilities & Experience Education / Certifications
* Marketing/Business studies at Tertiary level
Experience
* At least 3+ Years in a Marketing and/or Sales Administrative role, preferably within a commercial or pharmaceutical organization.
* Must be experienced in providing administrative support to a large team and manage competing priorities.
* Experience in the coordination of large projects such as events and system/process changes.
* Must be experienced at working with management at a senior level.
Other
* Excellent administrative planning and organisational skills including the ability to stay focused, meet deadlines, effectively prioritise tasks and apply attention to detail.
* Confidence with Excel and other Microsoft office applications those and ability to learn in-house systems quickly (i.e. CoManDo).
* Demonstrated customer service orientation with internal and external stakeholders and the ability to work well as a part of a team as well autonomously with a minimum of direction.
* Must have a capacity to maintain a high level of confidentiality and demonstrate a continuous improvement approach to tasks.
