The office of Mr Phillip Thompson is seeking applications for a full-time ongoing Diary & Administration Manager, based in the Herbert Electorate, in Townsville Queensland.
Position Overview
The Diary & Administration Manager plays a vital role in supporting the daily operations of the Electorate Office of Phillip Thompson MP.
This position requires a highly organised and professional individual who can manage a dynamic schedule, handle sensitive correspondence, and engage respectfully with constituents and stakeholders. The role offers a unique opportunity to contribute to the effective functioning of a parliamentary office and to support the Parliamentarian in delivering outcomes for the community. Regular travel and occasional irregular hours may be required, particularly during parliamentary sitting weeks.
The Parliamentarian is seeking an enthusiastic person with strong organisational and time management skills to join the team as a Diary & Administration Manager, with the responsibility of managing the Parliamentarian's schedule, correspondence, and office administration.
The key duties of the position include but are not limited to:
* Diary Management:
Coordinate the Parliamentarian's schedule, including appointments, travel arrangements, and logistical changes.
* Correspondence Handling:
Manage incoming and outgoing emails and mail, ensuring timely and appropriate responses.
* Constituent & Stakeholder Engagement:
Act as the first point of contact for meetings and inquiries, providing a professional and respectful interface.
* Casework Support:
Assist with constituent correspondence and casework, maintaining confidentiality and sensitivity.
* Office Administration:
Oversee general office duties including invoice processing, supply management, and record keeping.
* Event Assistance:
Support planning and execution of electorate events and activities, which may require work outside standard office hours.
* Workplace Culture:
Promote and uphold a safe, respectful, and inclusive working environment.
* Travel Requirements:
Regular travel to Canberra and interstate may be required, particularly during parliamentary sitting weeks.
* Additional Duties:
Perform other duties as needed to support the Parliamentarian and the effective operation of the office.

The ideal applicant should possess the following skills, qualifications, and experience:
* Proven experience in administrative roles; experience in government or political settings highly regarded.
* Experience as an Executive Assistant is highly desirable.
* Strong organisational and time management skills with high attention to detail.
* Ability to manage multiple tasks and meet competing deadlines.
* Demonstrated integrity, discretion, and confidentiality.
* Interest in and understanding of Australia's government and parliamentary processes.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft 365 and other relevant IT systems.
* Professional and respectful demeanour in all interactions.
* Ability to work as part of a team.
Employment conditions:
The position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement which include:
* A competitive salary will be negotiated depending on experience and relevant skills EOA 1-3 $74,537 - $78,911
* An additional optional allowance will be considered in recognition of, and as compensation for, reasonable additional hours of work and any travel requirements up to $18,576
* An employer superannuation contribution of 15.4% will be payable.
