Primary objective
Provide administrative and financial services to enable the Frances Bay Marine Facility to operate efficiently and safely meeting the expectations of its customers and NTPS objectives.
Context statement
The Department of Lands, Planning and Environment is responsible for the management and operation of the Frances Bay Marine Facilities, including the Frances Bay Mooring Basin, associated wharves and Sadgroves Moorings. The work unit sits within the Crown Land Estate, which is responsible for coordinating and managing Crown Land and facilitating land use for economic development.
Key duties and responsibilities
1. Delivery of small craft shipping scheduling services by maintaining a berthing planner and tracking and recording vessel movements at Frances Bay Marine Facility.
2. Administer the Frances Bay Marine Facility asset register and coordinate periodic maintenance.
3. Monitor telephones and emails during business hours and respond to customer queries and complaints accordingly.
4. Liaise with Frances Bay Marine Facility customers regarding small vessels and the department's service requirements and negotiate satisfactory outcomes.
5. Accounts Receivable including raising and receipting invoices; and Accounts Payable including coding invoices and raising Tier 1 procurement documentation.
6. Contribute to and actively seek opportunities for streamlined work practices.
7. Undertake activities to support the team and provision of efficient and effective services to customers of wharves and moorings.
Selection criteria
Essential
1. Proven experience and ability to solve day to day operational problems adopting a calm and logical approach.
2. Demonstrated ability to maintain a high standard of attention to detail, care, and diligence, with the ability to work autonomously without supervision.
3. Demonstrated sound interpersonal, oral and written communication skills, with an ability to interact effectively with people from diverse cultures and build strong working relationships.
4. Ability to interpret policy documents and relevant legislation, such as the Crown Lands Act.
5. Demonstrated high level computer literacy skills, including sound knowledge of database software packages systems and Microsoft office products.
6. Experience in using a computerised accounting and asset management system (or ability to learn).
7. Experience using a computerised record management system with a good understanding of record management practices.
Desirable
1. Understanding of the fishing industry and recreational sailing fraternity.
2. Practical understanding of tidal movements and cargo operations.
