Key Responsibilities:
* Coordinate and manage all aspects of bid preparation, ensuring submissions are completed on time and meet client requirements.
* Work closely with state managers and other internal teams to gather technical, commercial, and project-specific information for bid proposals.
* Draft, review, and edit bid documents, ensuring they are clear, accurate, and professionally presented.
* Develop and manage bid schedules, tracking progress and deadlines to ensure timely completion.
* Ensure all bid documents comply with the client's specifications and instructions.
* Maintain a comprehensive bid library and filing system for easy access to previous submissions, templates, and other bid-related resources.
* Prepare and submit all necessary documentation, including pricing schedules, compliance statements, and technical details.
* Support post-bid activities, including clarifications, presentations, and potential contract negotiations.
About you:
* Previous experience in bid coordination, submission coordination, or as a Bid Administrator within the construction, landscaping, or related sectors.
* Strong understanding of the bid process, including document preparation, tendering, and submission deadlines.
* Exceptional written communication skills with a high attention to detail, ensuring all bid documents are accurate and professionally presented.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with experience using bid management or document management software (desirable).
* Highly organised with the ability to manage multiple bids simultaneously and meet strict deadlines.
* Ability to collaborate effectively with diverse teams and stakeholders, both internal and external.
