The Department of Justice and Community Safety (Youth Justice) is responsible for the statutory supervision of young people in the criminal justice system in Victoria, focusing on prevention, diversion and early intervention as the most effective and fiscally responsible ways of reducing youth crime. About This Role
The Youth Justice Custodial Services aim to engage young people in change by addressing their offending behaviour and equipping them with the skills required for positive community participation within a safe and secure environment. The role is an ongoing, full‐time position based at the Cherry Creek Youth Justice Precinct with flexibility to work across the Parkville and Malmsbury precincts where needed.
Responsibilities
* Provide high‐quality administrative and records management support.
* Manage hard‐copy records in line with the Retention and Disposal Authority (RDA), ensuring compliance with information management standards.
* Review, finalise and implement Records Management Local Operating Procedures, promoting best practice across the Cherry Creek, Parkville and Malmsbury Youth Justice Precincts.
* Undertake a range of administrative and file management functions including filing, file labelling, scanning, file maintenance and validation.
* Undertake records‐management related projects preparing hard‐copy records for transfer from active to inactive or archival storage.
* Undertake quality assurance assessment of existing TRIM records to ensure compliance with corporate information and records‐management standards.
* Support management of information and records for YJCS and ensure departmental records‐management compliance is met.
* Assist with retrieval of files and records as required for FOI and other official requests.
* Provide information, support and advice on compliance with the department's information and records‐management policy, procedures and associated standards.
Qualifications & Requirements
* Experience using Office 365 suite of applications, SharePoint, HPE Records Manager (TRIM) and/or other Electronic Document and Record Management Systems is desirable.
* A demonstrated understanding of records‐management policies, principles and procedures in a government environment, including relevant legislation (Public Records Act 1973, Privacy and Data Protection Act 2014) and Public Record Office Victoria standards and guidelines.
* A qualification in records management, information management or a related field is desirable.
* A current full driver's licence is required as travel to other offices within the department may be required.
* You will be required to obtain a Working with Children Check (WWCC) to be maintained for the period of employment.
