About The Role
Our client, a top real estate agency in the heart of St Kilda, is seeking a dynamic and driven Executive Assistant to join their team. If you thrive in a fast-paced environment and love keeping things running like clockwork, this is the role for you! You’ll be at the heart of the action, providing outstanding support to the Principal and ensuring that everything gets done on time and to the highest standard.
Key Accountabilities
* Calendar & Diary Management: Handle a dynamic and ever-changing schedule for the Principal, liaising with both internal and external contacts.
* Communication: Manage all incoming and outgoing calls, emails, and electronic correspondence.
* Project Management: Prioritise and manage multiple projects, ensuring deadlines are met with precision.
* Vendor & Client Experience: Ensure all vendor interactions reflect the agency's high standards and brand values.
* Auction Campaigns: Oversee auction preparation and execution, ensuring every detail is taken care of.
* Sales & Marketing Support: Coordinate marketing, create appraisals, schedule inspections, and assist with listing and proposal documents.
* Reporting & Database: Manage the CRM, input updates, and compile weekly vendor reports to ensure smooth operations.
* Prospecting: Generate call lists and oversee the implementation of targeted marketing campaigns.
* General Administration: Maintain office systems, support the team, and ensure all tasks are completed with speed and accuracy.
Key Skills & Experience:
* High level Executive Assistant experience with a drive for career development.
* Advanced computer literacy and CRM/database management skills
* Exceptional organisational skills with the ability to juggle multiple tasks simultaneously
* Goal-driven and results-oriented
* Strong customer service focus and communication skills (both verbal and written)
* Attention to detail and proactive in problem-solving
