About the position
The primary focus of this position is to provide reception duties for a multidisciplinary youth health & medical service site and administration duties which support routine day to day client and site communications, safety, maintenance and operations.
The Medical Reception and Administration Officer is the first point of contact for headspace Collingwood, with the role providing frontline advice and support to young people and their families/carers seeking information, resources and help. The role also facilitates and at times initiates our site's responsiveness in regard to initial contact, screening, warm referral and clinical escalation processes for young people within scope of practice.
Overall, the role undertakes a wide range of medical reception and administrative tasks including front of house triage telephone enquiries, client presentations at reception, room bookings, monitoring and supporting clients in attending appointments and other general administrative tasks to the headspace leadership team, staff and private practitioners.
The Medical Reception and Administration Team provides coverage for front line reception duties at each centre site and administration tasks for day to day running of the sites as delegated.
Key Selection Criteria
Administration qualifications and/or experience in a similar administration role.
Demonstrated experience in providing administrative support to a multi- disciplinary team including the requirement to maintain privacy and confidentiality.
Excellent computer skills with proficiency in the use of Microsoft Office Suite, alongside the ability to quickly acquire knowledge about additional computer programs.
Ability to contribute to process improvement
Ability to maintain a professional attitude in all communication with stakeholders i.e. phone, email and face to face.
Excellent interpersonal skills and written and verbal communication skills.
