As the Assistant Board Secretary, you'll work closely with senior leaders and Board members, helping everything run smoothly behind the scenes and ensuring governance processes are well organised, accurate and dependable.You'll be at the centre of Board and Committee activity — coordinating meeting papers, managing records, keeping track of actions and supporting meetings from start to finish. It's a role with real impact, strong exposure and clear pathways to develop your career across corporate and governance functions.**Key Responsibilities**As Assistant Board Secretary, your key responsibilities will include:* Coordinate the end to end preparation, review and distribution of Board and Committee papers, ensuring high standards, accuracy and deadlines are met* Manage Board and Committee meeting cycles, including agendas, calendars, action items and records of decisions* Publish and maintain meeting papers and records in the Board portal, including version control and access management* Provide administrative and secretariat support to the General Counsel, Chair and Board members on Board related matters* Act as a key point of contact between Board members and internal teams, tracking requests and ensuring timely follow up* Coordinate Board and Committee meeting logistics, including scheduling, venues, technology, travel and catering as required* Prepare meeting documentation, running sheets and materials requiring signature* Support the induction and onboarding of new Board members, including access, materials and briefings* Provide administrative support for wholly owned subsidiaries, including statutory registers and routine regulatory filings* Maintain accurate and secure storage of Board, Committee and subsidiary records in line with governance and information management requirements***About You***We're looking for an organised and detail oriented professional with experience supporting Boards, Committees or senior leaders in complex or regulated environments. You should enjoy working behind the scenes to keep governance processes running smoothly and take pride in delivering accurate, high quality work.You'll be confident engaging with senior stakeholders, able to manage competing priorities, and trusted to handle confidential information with discretion and professionalism. You should work well independently, but also thrive in collaborative environments where clear communication and follow through are essential.To be successful in this role, you will bring:* Demonstrated experience in a board, committee, secretariat or senior executive support role* Strong experience coordinating meeting cycles, papers, records and senior* Excellent organisation skills, with the ability to manage deadlines, workflows and multiple priorities* High attention to detail and a commitment to accuracy and quality outcome* Strong written and verbal communication skills, with confidence liaising with Board members and internal teams* Sound judgement and a risk aware approach, understanding when issues need to be escalated* A proactive, self starting mindset with a strong sense of ownership and accountability* Experience in a government, regulated or complex organisational environment and relevant tertiary qualifications (for example, administration, governance, law or commerce) will be well regarded.Please note that the opportunity is open to Australian citizens only.***We Are For Everyone***At Future Fund, we are better for our differences.
