About the Role

As an Executive Assistant, you will be responsible for supporting the General Manager of Deposits and Payments, Head of Deposits Transformation Strategy. This opportunity will suit someone who is highly organised and can thrive in fast-paced, constantly changing environments. You can juggle competing priorities and different agendas and build collaborative relationships with your stakeholders and are energised when things need to quickly change.

Role Type: 12-month Fixed Term opportunity
Work Schedule: Full Time


What will your day look like?

As an Executive Assistant, you are accountable for:

1. Executive diary management – proactive management of diary (internal and external meetings), helping to prioritise meetings and manage stakeholder expectations.
2. Ensuring all documents are sent and received prior to key meetings, e.g., Exco/Board meetings.
3. Business management support activity – including invoices, working with Procurement when required.
4. Travel management – inclusive of flights, transfers, visas, and accommodation bookings, ensuring cost effectiveness is maintained/monitored at all times.
5. Expense & floor management – reconciliation of Executive monthly expenses, ensuring the receipt and payment of invoices align to expense policy, ensuring all expenses are coded correctly and meeting deadlines, keeping the Property system up to date to reflect changes, e.g., team relocations.
6. Building networks with peers as well as forming direct relationships with the Group Executive Offices and their Executive Assistants.
7. Organising off sites/team events – ensuring all requirements are met and policies are followed, e.g., venues and catering booked and dietary requirements observed.

1. Experience in an administrative role in a fast-paced environment.
2. Proven ability to work autonomously or as part of a team.
3. Able to manage priorities and conflicting issues in a professional manner.
4. Appreciation of the need for discretion and confidentiality.
5. Proven ability to build strong, open, and collaborative working relationships.
6. Very proficient in the use of Microsoft Word, PowerPoint, Excel, Outlook, and email & Internet.
7. Exceptional organisational skills, with the ability to prioritise management requirements.
8. Strong interpersonal and communication skills.
9. Demonstrated ability to use initiative, with the ability to be proactive by taking action and being persistent in addressing issues.
10. Demonstrated ability to work under pressure in an accurate and timely manner, with the ability to reprioritise work to meet changing demands.
11. Professional behaviour and presentation.
12. Experience in managing events and providing support at senior levels of an organisation.
13. Strong attention to detail.
14. Strong people focus and empathy, with an ear to the ground across the business, and an integral part of a vibrant team.
