Supplying stone creations to some of Melbourne's most reputable builders, we are seeking a professional and proactive Office Assistant to support the daily operations of our growing team.
Join our team as Stone Art's Office Assistant
In this key frontline role, you will manage all incoming calls to the business, warmly welcome customers upon arrival.
You will be responsible for monitoring the Orders inbox, ensuring all enquiries are responded to in a timely and accurate manner. This role also includes processing and allocating new jobs within the company's management system, maintaining up-to-date records, and providing administrative support as required.
The ideal candidate will demonstrate exceptional communication and organisational skills, a high level of attention to detail, and the ability to manage multiple tasks in a fast-paced environment while always maintaining a professional and approachable presence.
Key responsibilities and duties:
* Answer incoming calls and filter to required personnel
* Greeting new and existing customers, offering refreshments when requested
* Checking and entering new jobs in Company program (Job Manager)
* Following up builders for additional information when required
* Call and follow up on undermount sinks as necessary
* Create information sheets for every job (stone colour, thickness, specs etc)
* Scan and enter job drawings into system
* Monitor orders inbox
* Work closely with office admin from R&R regarding project documents where required
* Organise and maintain job folders and requirements
* Keep accurate and up-to-date records in our data management system
* Order and stock office & first aid supplies
* Manage autogenerated callups in the callups inbox
* Confirm installations with site supervisors
* Liaise with subcontractors for daily jobs
* Establish and communicate quotes with customers and clients
* Assist with any extra scheduling responsibilities where required
* Assist with any extra estimating responsibilities where required
* Undertake other related duties as required by the Company
About You:
* High Attention to Detail
* Strong Communication Skills, both written and verbal.
* Professional, friendly demeanor when greeting internal and external individuals.
* Demonstrate a willingness to grow within the role.
* Strong organisational skills
* High level of Literacy and Writing Skills
* Proficiency in Microsoft Office (Word, Excel, Outlook 365).
* Ability to work full time
