About the Role
We are seeking a highly organised and professional Personal Assistant & Administration Officer to provide direct support to the Director and act as the first point of contact across the group.
This is a busy, hands-on, on-site role, based from our modern Kew office, supporting multiple businesses within the group. The role requires strong organisational skills, excellent presentation, discretion, and the ability to manage a high volume of work in a fast-paced environment.
Key Responsibilities
Personal Assistant to the Director
Act as the primary point of contact and gatekeeper for the Director
Manage the Director's business and personal diary, appointments, meetings, and travel
Coordinate personal matters including bookings, scheduling, and confidential tasks
Screen and manage calls, emails, and correspondence
Prepare correspondence and documents on behalf of the Director
Ensure matters are prioritised, followed up, and resolved in a timely manner
Maintain strict confidentiality at all times
Administration & Office Support
Provide day-to-day administrative support across the office
Support multiple departments within the group when required
Assist accounting, finance, insurance, property, and health teams during busy periods
Prepare documents, reports, and presentations
Maintain accurate filing systems and records
Coordinate meetings, agendas, and minutes
Liaise with accountants, lawyers, banks, insurers, medical professionals, and other advisers
Client & Stakeholder Interface
Act as the first point of contact for clients, visitors, and external stakeholders
Represent the Director and group with professionalism and confidence
Ensure a polished, welcoming, and high-quality experience
Follow up matters promptly and accurately
Role Requirements
Fluent in both English and Farsi (spoken and written)
Ability to work on-site full-time from our Kew office
Strong organisational and time-management skills
Excellent written and verbal communication skills
High level of discretion, integrity, and professionalism
Ability to manage multiple priorities in a high-volume environment
Willingness to assist across departments as business needs require
Proficient in Microsoft Office (Word, Excel, Outlook)
Professional Presentation
This role involves daily interaction with senior executives, clients, and external stakeholders. A high standard of personal presentation, grooming, and professional attire is an essential requirement of the role.
