Administration Officer
As the Administration Officer, you will provide essential administrative support to the Sports Aviation Federation of Australia (SAFA), the sporting body responsible for administering Hang Gliding, Paragliding, and Weight Shift Microlights in Australia under the regulations set forth by the Civil Aviation Safety Authority (CASA).
Under the guidance of the Senior Administration Coordinator, you will manage membership applications and admissions and ensure compliance with organisational and regulatory requirements for the issuance of authorisations, including pilot authorisations (qualifications).
This dynamic and diverse role involves collaborating with a supportive team of five across the states, liaising with staff and members, and contributing to a respectful learning environment. The role will be based fully onsite at our Melbourne Office, with the flexibility to work from home on needs basis.

What you'll be doing:
As the Administrative Officer, you will work closely with the Senior Administration Coordinator to provide essential administrative support to the team and maintain the smooth operation of daily office activities.
Responsibilities:
* Answering daily queries and facilitating communication, including managing incoming phone calls, emails, mail, and correspondence.
* Perform data entry and input member applications, renewals, and authorisation approvals into the database.
* Maintain and update records, database, and filing systems.
* Ensure compliance records are up to date.
* Maintain and update local share drives for the office.
* Undertake and assist with stock and inventory management.
* Assist the Senior Administration Coordinator with:
o Coordinating office supplies and general office organisation.
o Accounts and payroll tasks, such as processing invoices, purchase orders, and other financial documents.
o Coordinating travel arrangements and booking accommodation as necessary.
* Provide support for various projects and ad-hoc tasks as required.
* Assist with maintaining quality procedures for the office.
