Part-Time (0.5 FTE) | Ongoing Role | Location: Box Hill/Remote | Flexible Monday to Friday
For over 170 years, we have provided practical and compassionate support to people across Victoria, helping with essentials like food, utilities, and education.
Our services include soup vans, education programs, home visitation, and VincentCare Victoria (VCV), supporting vulnerable communities such as those experiencing homelessness, housing crises, family violence, and the elderly.
About the Role
We seek an experienced and motivated Executive Assistant to support the Executive General Manager (EGM). You will manage diaries, coordinate meetings, assist with projects, and maintain record systems to ensure smooth leadership operations. The ideal candidate is proactive, organized, and committed to our mission of compassion and service.
Your Responsibilities
* Manage diaries, schedule meetings, and organize functions for the EGM
* Develop and maintain efficient administrative systems, ensuring confidentiality
* Prepare reports, presentations, and correspondence adhering to branding guidelines
* Coordinate travel, venues, and meetings
* Ensure compliance with policies and legislative requirements
* Act as main contact for the EGM, handling inquiries and sensitive information
* Support Board/Committee meetings, including reports and minute transcriptions
* Identify and support improvements in administrative processes
About You
* Qualifications: Relevant tertiary qualification or equivalent experience
* Experience: Proven high-level administrative support, especially at senior levels
* Expertise in diary management, document prep, and meeting coordination
* Ability to work independently, prioritize, and meet deadlines
* Discretion in handling sensitive information

* Advanced Microsoft Office skills
