Our Client is looking for a capable, detail-driven Administration Officer to support plant safety and compliance processes. You'll be part of a small, friendly team based in our Yarraville office. The role will be fully in-office to allow for constant collaboration, ensuring every job starts with the right information and nothing slips through the cracks.
What You'll Be Doing
* Reviewing plant and equipment documentation (service records, risk assessments, compliance documents)
* Flagging missing or inconsistent paperwork before inspections are planned
* Preparing detailed, accurate work orders for our assessors and invoicing team
* Uploading documentation into the site system with accuracy and structure
* Liaising with clients to clarify unclear or missing information
* Helping ensure every inspection starts with the right paperwork in place
Expected Outcomes
* Work orders are accurate, complete, and ready for invoicing
* Documentation is checked and flagged before inspections
* Missing info is escalated and resolved quickly
* Systems are consistently and correctly updated
* Clients are kept informed with professionalism and clarity
This Could Be You, if You:
* Have a high focus on attention to detail – you hate seeing things fall through the cracks
* Communicate confidently via phone, email, and in person with staff at all levels of an organisation
* Are highly organised and have experience creating and maintaining order in digital filing systems or documentation processes
* Are comfortable working in a small, fast-moving team
* Are confident working with or learning technical terms – exposure to construction or service to heavy industry would be an advantage
* Are interested in working in-office five days a week. Hybrid work is not a feature of this role.
