As Executive Assistant to our Director of Engagement and Development and Head of Philanthropy, you'll be at the heart of a mission that transforms children's lives through world‐leading medical research. This is more than an administrative role—it's a relationship‐focused, high‐impact position for someone who understands communication, service, fundraising and relationship management.
You'll be the key connector between our most important stakeholder—including donors and board members—ensuring they feel valued, supported and inspired. Your ability to juggle competing priorities with grace, deliver seamless support across senior leadership and coordinate critical projects will help power our work across philanthropy, media and communications and brand and marketing.
Responsibilities
* Stakeholder Engagement & Relationship ManagementAct as a primary liaison for high‐value stakeholders, including board members, major donors and internal staff.Build strong, trusted relationships through clear communication, professionalism and emotional intelligence.
* Strategic Meeting CoordinationCoordinate high‐level meetings and events.
* Manage end‐to‐end logisticsInvitations, agendas, briefing packs, room set‐up and catering.
* Executive Calendar & Appointment ManagementOversee complex calendars for the Director and Head, ensuring optimal prioritisation.Prepare meeting materials, track follow‐up actions and anticipate scheduling needs.
* End‐to‐End Travel & Visit CoordinationOrganise all travel and accommodation for senior leaders and key visitors.Ensure itineraries run smoothly with full attention to timing, comfort and professionalism.
* High‐Level Communication & Stakeholder ServiceDeliver a consistent, high standard of service that reflects the values and reputation of the organisation.
* Technology & Workflow OptimisationLeverage digital tools such as SharePoint, Microsoft Teams, To‐Do, Planner and AI‐powered solutions to streamline tasks and enhance team and executive productivity.Maintain structured filing systems, shared resources and collaborative workspaces to ensure accuracy, consistency and efficiency in day‐to‐day operations.
* Budget & Expense ManagementSupport the management of the Engagement & Development (E&D) team budget, including processing invoices, tracking expenses and preparing regular financial summaries.Ensure compliance with financial procedures, monitor spend against budget and assist with forecasting and reporting.
Qualifications
* Bachelor's degree in business administration, management or a related field (preferred).
* Minimum of 3 years of experience in an executive assistant or administrative role, preferably within a non‐profit, research workplace or professional services.
* Proven experience working with executives, boards and high‐net‐worth individuals (HNWIs).
* Exceptional organisational and time‐management skills, strong written and verbal communication abilities, proficiency in Microsoft Office Suite and donor databases such as Raiser's Edge.
* Excellent interpersonal skills, detail‐oriented, proactive, able to handle sensitive information with discretion and capable of working independently and as part of a team.
