**Job Description**:
AECOM has a unique opportunity for an experienced and energetic Executive Assistant / Group Coordinator to join our Environment team based in Melbourne.
Our Melbourne Environment Team consists of over 120 people who work with private and public sector clients to deliver projects while promoting resilience, achieving compliance, and mitigating impacts and risks to our communities and natural environment. We are currently seeking an energetic Executive Assistant / Group Coordinator to assist in delivering a high-quality service to support senior leaders and the wider team, ensuring the smooth and effective operation of the Environment group.
Duties and responsibilities will include, but are not limited to:
+ Supporting the team with organising social initiatives and client events;
+ Coordinating team and client meetings (including catering, agendas, minute taking when and if required)
+ Assist with travel requests, expense reimbursements and other tasks;
+ High level administrative and project support for the teams.
+ Maintain electronic diary for team leaders.
+ Manage enquiries, when necessary, from internal and external clients and ensure follow up action is taken in a timely manner.
+ Maintain a working knowledge of team policies and procedures to ensure compliance with AECOM standards.
+ Other duties as required to assist the teams in achieving their goals.
+ Building effective relationships with all members of the environment team and playing a meaningful role is the maintenance of our team culture.
**Qualifications**:
This is a varied and busy role that would suit someone who is proactive and enjoys working within a collaborative environment. You will have proven experience in an administrative or executive assistant role, ideally in a professional services environment. Above all, you will have a friendly and outgoing personality and be someone who enjoys helping others.
You will also be required to demonstrate the following key attributes:
+ Efficient, highly organised with solid time-management skills.
+ Strong attention to detail.
+ A flexible approach with the ability to prioritise tasks and manage conflicting priorities.
+ Multi-skilled and adaptable with the ability to show drive and initiative.
+ Ability to work autonomously as well as part of a team.
+ Capability to build strong relationships with customers, both internal and external.
+ Advanced knowledge of Microsoft Office (Outlook, Word, Excel & PowerPoint) and the ability to pick up new systems is essential.
