We’re looking for a super-organised, energetic and people-oriented administrator to support our Brand Engagement team across events, partnerships, community initiatives, campaigns and office coordination.

What you’ll do:

* Coordinate logistics for events, partnerships and community activations – venues, invites, catering, RSVPs, and more
* Support end-to-end Salesforce campaign execution and guest data management
* Bring our client gifting moments to life (think: key dates, onboarding, Christmas)
* Keep our Melbourne office humming – from reception and supplies to internal events and mailbox management
* Be the go-to support for smooth delivery across community and brand initiatives

What you’ll bring:

* A love of logistics, events and admin (and a sharp eye for detail)
* A friendly, team-first attitude and great communication skills
* Ability to manage multiple moving parts and deadlines
* Experience with Salesforce is a bonus – but not essential
* A can-do approach to supporting people, operations and purpose-driven work
* A willingness to work onsite.

KEY RESPONSIBILITIES:

Partnership and Community Event Support

* Coordinate logistics for all partnership and community events (venue bookings, catering, suppliers, signage, check-in lists, room setup)
* Manage the end-to-end RSVP processes including invitation lists and attendee communications .
* Prepare materials for events including merchandise, banners, run sheets and collateral .
* Liaise with speakers and guests pre- and post-events to ensure a seamless experience
* Support post-event feedback and reporting in Salesforce.
* Recording costs in relevant budget and tracking spreadsheets
* Processing invoices via Law Squared accounts team

Salesforce and Campaign Execution

* Create and maintain Salesforce campaigns for all partnership and community events
* Input guest data, update contact records, and ensure campaign tagging accuracy
* Generate attendance reports and engagement summaries post-event
* Collaborate with Marketing on required EDM templates, social templates, Salesforce distribution lists and bounce backs .

Gifting

* Managing client gifting experiences for Easter, Christmas, LSaaS onboarding and other milestone or Ad hoc requirements.

Office Coordination

* Host and manage the reception desk when required
* Open, scan and distribute internal mail
* Dishwasher and other kitchen related tasks including managing weekly Coles orders and F&B unpacking
* Maintain stationery and general office supplies
* Coordinate in-office decorations and theming (e.g. Christmas, campaign launches)
* Organise catering and logistics for internal strategy days, training, and community sessions .
* Monitor and manage inboxes
* Receive and triage phone calls via Aircall
* Manage the distribution of the weekly operations team dashboard

Required Capabilities and Qualifications

* Proven ability to manage and execute events, ensuring seamless logistical planning and effective coordination of all moving parts.
* Strong attention to detail and ability to track budgets accurately, manage costs efficiently, and ensure precise data management for campaigns and events.
* Strong communications skills to be able to effectively communicate with internal teams, external suppliers, speakers, and guests to ensure smooth event execution and post-event engagement.
* Proven capability to manage various responsibilities and events concurrently while maintaining a high level of attention to detail and meeting deadlines.
* Be collaborative and develop effective working relationships with internal stakeholders and external suppliers.
* Bring a positive, energetic and customer-oriented outlook to supporting the Brand Engagement team, and our Squared Group stakeholders.
* Experience with Salesforce is not mandatory but will be viewed favourably.
