About Us
Parkville Youth Mental Health and Wellbeing Service (PYMHWS) is Victoria's newest public mental health service dedicated to the care of young people aged 12 to 25 experiencing complex mental health challenges.
PYMHWS is leading a bold and values-driven transformation in youth mental health care across Melbourne's north and west. We exist to walk alongside young people, their families, carers, supporters and kin delivering care that is accessible, inclusive, developmentally appropriate, evidence-informed, and grounded in lived experience. The Opportunity

As we continue to grow, we are looking for a proactive, highly organised, and detail-focused Administration Officer to support the smooth and efficient operations of the Forensic Youth Mental Health Service (FYMHS). FYMHS provides specialist forensic mental health assessment, treatment and coordinated multidisciplinary support to young people across custodial and community based settings.

About the Role
The Administration Officer plays a vital role in ensuring the smooth, efficient, and high-quality operation of the Forensic Youth Mental Health Service (FYMHS). You will provide comprehensive administrative, reception, records management, and coordination support that enables clinical teams to focus on delivering exceptional care to young people and their families. As a key first point of contact, this role offers the opportunity to contribute meaningfully to a youth-focused, multidisciplinary service spanning custodial and community based settings.
What You'll Do
* Provide professional reception, enquiry support and first-point-of-contact assistance for staff, young people, families and visitors.
* Coordinate administration functions including data entry, medical records management, correspondence, and accurate document control.
* Support clinical teams by managing admissions, maintaining databases, preparing reports, and collating KPI and audit data.
* Assist with onboarding, rostering, recruitment processes, and staff access requirements across multiple FYMHS sites.
* Manage supplies, invoices, fleet bookings and general resources to ensure smooth day-to-day operations.
* Collaborate with PYMHWS, Youth Justice and external partners to enable effective, integrated service delivery.
About You
You are an organised, adaptable and customer-focused administrator who thrives in a dynamic, youth-focused mental health environment.
* Experience in providing high-quality administrative support, including data entry, records management and coordinating daily operational tasks.
* Strong communication, reception and stakeholder engagement skills, with the ability to work professionally with young people, families, clinicians and partners.
* Excellent attention to detail, time management and the ability to manage competing priorities with accuracy and reliability.
* Demonstrated ability to work collaboratively and flexibility within multidisciplinary teams and across multiple service sites.
* Committed to youth-focused care, confidentiality, inclusivity and contributing to a safe, supportive and values-aligned workplace.
