About the Role
We are seeking a highly organised and detail-oriented Placement Administration Officer to manage the administrative coordination of student placements across Victoria and South Australia.
This role is ideal for someone who thrives on structure, accuracy, and process-driven work. You will play a key role in ensuring all placement documentation, compliance requirements, and records are managed efficiently, supporting smooth operations for students, Course Coordinators, and host organisations.
While the role involves regular communication with stakeholders, its core focus is on administration, systems, and ensuring placements are delivered accurately and on time.
About You
You are a highly organised administrator who enjoys working behind the scenes to ensure operations run smoothly and accurately. You are comfortable managing multiple tasks, maintaining detailed records, and working within structured processes and compliance requirements.
Key Responsibilities
* Manage end-to-end placement administration, including documentation, agreements, and compliance tracking
* Maintain accurate student records, attendance logs, and placement data across internal systems
* Coordinate placement schedules and allocations in collaboration with Course Coordinators
* Ensure all pre-placement compliance requirements are completed, recorded, and verified
* Prepare reports, maintain databases, and support audit and compliance requirements
* Liaise with host organisations to confirm placement details and ensure documentation is complete
* Maintain clear and accurate records of all placement-related communication
* Support placement monitoring activities, including check-ins and documentation of student progress
* Identify opportunities to improve administrative processes and contribute to workflow enhancements
Qualifications & Experience
* Proven experience in an administrative, coordination, or operations support role
* Strong organisational and time management skills, with the ability to meet deadlines
* High level of attention to detail and accuracy in data entry and documentation
* Experience managing records, databases, or administrative systems
* Excellent written and verbal communication skills
* Current Police Check and Working with Children Check
* Experience in student placements, vocational education, or training environments
* Familiarity with learning management systems such as Moodle
* Experience working with compliance-driven processes or audits
