Based on St Kilda Rd, the head office plays a key role in supporting operations across multiple sites. This newly positioned Executive & Office Support Manager role sits at the heart of the business, providing critical support to the CEO and leadership team while ensuring the smooth day-to-day running of the office.
This role offers hybrid flexibility, splitting your time between the office & WFH.
The Role
Reporting to the GM HR, this role is a true all-rounder position combining executive support, office management, internal communications, and HR administration. You'll act as a key point of coordination across the business, supporting senior stakeholders while keeping the Melbourne office running seamlessly.
This is a highly visible role where you'll be trusted with responsibility, involved in key business activities, and given the opportunity to shape processes and improve how things are done.
Key Responsibilities
* Provide high-level executive support to the CEO, including calendar, email, reporting and presentations
* Coordinate leadership meetings, including preparing agendas and taking minutes
* Manage domestic and international travel, accommodation and event coordination
* Oversee day-to-day operations of the Melbourne office, including suppliers, facilities and general administration
* Produce high-quality internal communications and marketing collateral
* Manage and update internal systems including intranet and website content
* Support onboarding processes, employee documentation and HR administration
* Maintain employee records, contracts and organisational charts
* Coordinate with site administrators nationally to ensure consistency and communication across the business
* Assist with event planning, internal functions and leadership activities

The Successful Candidate
You'll be an experienced administrator or office manager who thrives in a fast-paced, varied role and enjoys supporting senior stakeholders.
* Previous experience supporting executives or in an office management role
* Strong organisational skills with the ability to manage multiple priorities
* High attention to detail and ability to produce polished, professional documents
* Confident communication skills, both written and verbal
* Proactive, self-motivated approach with strong problem-solving ability
* A team-first mindset with a willingness to support across the business
* Proficiency in Microsoft Office and systems, with the ability to learn quickly
