Executive Assistant to Director Community Services

About the role
As the Executive Assistant to the Director of Community Services, you will provide high-level administrative and project support to the Director and their senior leadership team. You will play a vital role in enabling efficient and effective operations across the directorate. You will work closely with the Director and Community Services' managers on strategic initiatives that enhance the functioning of the Director's office, organisational systems and processes and staff and customer engagement and connection. Your responsibilities will include:
Liaising on behalf of the Director with the Mayor, Councillors, council staff and the community.
Strategically managing the Director's calendar and providing day to day support.
Overseeing Councillor correspondence and ensuring timely responses.
Coordinating the Council report planning and approval process.
Managing recruitment processes, contract documentation and onboarding for the Director's direct reports.
Maintaining knowledge of Council's document and case management systems.
Ensuring correspondence is tracked and responded to according to Boroondara's customer promise.
Preparing meeting agendas, taking and distributing minutes.

Employment Requirements
Extensive experience as a personal/executive assistant.
Experience in working with sensitive issues.
Applicants must have the right to work in Australia.
Preferred applicants will be required to undergo a National Police Record Check.
