About the Role
Operations Assistant – Melbourne, Full‐time.
Responsibilities
* Act as the main point of contact for crew regarding operational administration and general support.
* Monitor and maintain compliance with crew certifications, inductions, and training requirements.
* Support the onboarding of new crew, including arranging PPE and verifying completion of all required inductions and documentation for site access.
* Manage site vehicle needs, including novated lease arrangements and fuel card coordination.
* Prepare and review crew timesheets to support accurate and timely payroll processing.
* Schedule and coordinate meetings, events, and site visits for operational staff and stakeholders.
* Maintain stock levels of office supplies, stationery, and other operational support materials.
* Process purchase orders and ensure accurate invoice coding and tracking.
Qualifications
* Previous experience in administrative or operational support roles; experience in resource or crew scheduling is an advantage, as is familiarity with the maritime industry.
* Strong organisational skills with the ability to prioritise tasks, meet deadlines, and stay focused in a fast‐paced environment.
* High level of attention to detail and accuracy across all aspects of your work.
* Confidence in interpreting and following operational procedures and processes.
* Personable, approachable nature – enjoy building relationships and supporting a cohesive, collaborative team environment.
* Solid computer literacy, including experience with Microsoft Office and business systems – exposure to platforms such as Workday, Sertica, or accounting programs will be highly regarded.
* Ability to handle confidential and sensitive information with discretion and professionalism.
* Proactive attitude, willingness to learn, and commitment to contributing to a safe and efficient workplace.
