We are seeking an experienced Personal Assistant/Legal Assistant to provide high-level support to our Family Law solicitors. This is a varied and rewarding role offering the opportunity to be part of a client-focused, compassionate, and highly organised team.
This is a permanent administrative role suited to someone who enjoys working behind the scenes to support legal professionals and clients with compassion, discretion and efficiency.
About the Role
As a Personal Assistant/Legal Assistant you’ll provide high level support to solicitors in the Family Law team. This role is integral to the smooth operation of legal files and client service, requiring robust organisational skills and the ability to manage sensitive matters with confidentiality, empathy, and professionalism.
Key responsibilities include:
- Provide legal and administrative support, including managing incoming correspondence, solicitor diaries, and client appointments
- Prepare, format, and process legal documents (e.g. court documents, briefs to counsel)
- File documents with the relevant courts, probate offices, and regulatory bodies
- Maintain accurate client records and legal files (electronic and hard copy)
- Act as a key contact for clients, handling enquiries and providing updates on matter progress
- Liaise with courts, barristers, mediators, and external stakeholders
- Ensure documents are properly saved, named, and accessible in the document management system
- Support court filings and ensure compliance with relevant procedures and timelines
- Assist with billing, timekeeping, and trust account processes
Ideally, you will bring to the role:
- Minimum 2 years' experience in a legal or professional services environment
- Fast and accurate typing (70+ wpm)
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Exceptional attention to detail and strong organisational skills
- Excellent written and verbal communication skills
- Experience in diary management, document preparation and client file handling
- Professional, empathetic, and confident manner—especially when dealing with sensitive matters
- Certificate III or IV in Legal Services or Business Administration (Legal)
- Experience using legal practice management software (e.g. Affinity, LEAP)
- Familiarity with court procedures and terminology
- Understanding of billing procedures and trust accounting
