We're looking for an APS4 Executive Assistant to join a vital government agency. This role is a full time or part time (4 days per week) temporary opportunity until June 2026 with potential extension.
Your main job will be to provide secretariat and administrative support. You'll work closely with the secretariat team to ensure smooth operations, help manage meetings, handle correspondence, and coordinate logistics, all while respecting accessibility and cultural safety principles.
Key Responsibilities
* Manage diaries and emails, prioritise tasks, and respond to changing schedules
* Prepare and review meeting papers ensuring accessibility and security standards are met
* Assist with correspondence, briefing notes, and confidential documents
* Coordinate meetings, including booking venues, arranging travel, and handling logistics
* Contribute to maintaining the shared drive and event planning
* Conduct research and investigations as required, obtain quotes, and support stakeholder engagement
* Support invoicing, ICT requests, and other administrative functions
* Build strong working relationships with internal teams, external stakeholders, and IAC members
About You
* You identify as a person living with a disability and are passionate about making a difference through your work
* You have experience in administration or executive support roles, preferably within government or community organisations
* Familiar with secretariat functions or governance processes
* Able to work independently, manage competing priorities, and adapt to a dynamic environment
* Skilled at building strong relationships and communicating clearly in plain English
* Knowledge of accessibility standards and cultural safety practices is highly desirable
* Experience in coordinating meetings, travel, and handling confidential information will give you an edge
