Responsibilities
* Office Manager:
o Assist in organisation of meetings, company events and conferences as necessary; organise catering within agreed budgets and timeframes.
o Provide high‐level administration, communication, and coordination services; liaise with staff at all levels to ensure smooth running of the Keysborough site.
o Coordinate purchasing of office stationery and maintain supply areas organised and tidy.
o Ensure cleanliness of kitchen and operational equipment in meeting rooms.
o Assist the onsite HR Manager with HR related matters.
* Executive Assistant:
o Provide high‐level confidential, accurate and well‐organised assistance to the Senior Regional Vice President.
o Manage calendar & diary, compose and prepare correspondence, compile documents for meetings, manage priorities and deadlines.
o Coordinate domestic and international travel.
o Reconcile credit card expenditure for another Director; assist Leadership Team with filing and other administrative duties.
o Coordinate leadership team meetings, minutes and actions (online and in‐person).
Qualifications
* 5+ years experience in an Office Manager / EA role.
* Hands‐on experience managing and coordinating general office support.
* Highly developed oral, written communication and interpersonal skills.
* Ability to handle confidential and sensitive information with discretion.
* Proven ability to establish strong working relationships with diverse stakeholders.
* Highly motivated with strong problem‐solving skills and ability to organise and prioritise tasks in a fast‐paced environment, meet deadlines while maintaining high quality and attention to detail.
* Excellent computer skills including information retrieval, analysis and compilation of data; proficiency with MS PowerPoint, Word, Excel and Project.
* Calm under pressure; requires minimal direction; able to work autonomously and as part of a team.
* Successful candidates will be required to complete a background and criminal history check.
