A new opportunity exists for an experienced EA to join a large, international company in Melbourne's South East.
Purpose of the role :
Reporting to the Managing Director (MD), the Executive Assistant (EA) plays a key role in ensuring the smooth running of the MD's office including supporting the Executive Team, delivering high level executive support, and office administration.
Accountabilities :
Provide confidential secretarial and office administration services to the MD and Executive Team, including preparation of correspondence, reports, agendas and presentations.
Manage complex international / domestic travel and associated itineraries / visas for the Managing Director and Executive Management Team.
Extensive Diary management across multiple time zones - resolving any conflicts, making judgement on priorities and ensuring they are always met.
Coordinate international visitors arranging company meetings, business lunches, dinners and after hour functions.
Managing extensive email communication, diary, meetings and appointments and drafting correspondence in a timely and effective manner.
Conduct any research and manage projects nominated by the MD.
Engaging external stakeholders in a professional and confident manner.
Attendance and action / minute taking at Executive Team Meetings.
Event Management – assisting for a wide range of events as required by the MD and Executive Management Team both on and off site
Manage the MD & Executive Management Team's yearly timetable / plan of all business activities, meetings and Executive Team functions.
Reconcile monthly expenses for MD and Executive Team.
Delegation of Authority coordination.
Supervision of the Executive Assistant and the Concierge staff / Reception
About you :
Previous Executive Assistant experience gained in a corporate environment, in providing high level administrative support.
Capacity to work in a multi-project environment and have strong administrative, organisation and time-management skills.
Proven high level skills in Microsoft Word, Outlook, Excel and PowerPoint.
Ability to work across numerous time zones to schedule meetings.
Demonstrated ability to apply confidentiality, discretion and exercise initiative.
Excellent communication skills.
Demonstrated ability to manage varied and conflicting demands to agreed standards and timelines.
Relevant experience in providing support to C Suite Executive.
Ability to work in a professional and effective way within a team, and contribute to a positive team environment.
Initially this role will be a 6 month contract, however there is a strong chance the role will progress to a permanent position.
