About the role
The Senior Administration Officer plays a pivotal role in supporting the operational effectiveness of the Community Services department. This role provides high-level administrative support to the Executive General Manager, Clinical Operations Manager, and the broader team. It ensures the smooth coordination of internal processes, communications, and documentation, contributing to the delivery of rights-based, person-led, safe, and effective services for veterans and their families.

You will also have:
* Relevant qualifications and/or experience in office management or administration, ideally in aged care, health, or community services.
* Demonstrated experience in managing administrative systems and supporting senior leaders.
* Strong proficiency in Microsoft Office Suite and electronic information systems.
* Strong interpersonal and communication skills, with a customer service mindset.
* Excellent organisational and time management skills, with the ability to multitask and prioritise.
* Ability to work independently and collaboratively in a team environment.
* Commitment to confidentiality, professionalism, and person-centred care.
* Willingness to undergo a National police check
* Proof of rights to work in Australia

Key Responsibilities
Administrative Coordination
* Manage departmental inboxes, correspondence, and filing systems.
* Process supplier invoices, reimbursements, and maintain accurate records.
* Coordinate team meetings, including agendas, minutes, and follow-ups.
* Support onboarding and training logistics for new staff.
Communication and Reporting
* Draft and distribute internal and external communications, including provider updates to clients and representatives and monthly statements.
* Assist with the preparation of reports, presentations, and policy documents.
* Maintain confidentiality and uphold communication standards as outlined in the Community Services Communications Procedure.
Systems and Process Support
* Act as a champion for internal systems (e.g., Sandwai, Epicore).
* Support data entry, reporting, and compliance tracking.
* Contribute to continuous improvement by identifying and implementing process enhancements.
Team Support
* Provide general administrative support to the Executive General Manager Community Services and managers.
* Assist with external provider management and contract variations as needed.
* Serve as a point of contact for internal queries and data entry.
