**Administrative Assistant**
**Reporting to: Executive Assistant**
**Location: Melbourne**
**How will you make an impact?**
You will support the administrative requirements of several members of the ANZ Senior Leadership Team. It's a key role to ensure efficient operation of the Senior Leadership Team members, prioritizing and organizing their travel, calendar management, key meetings and expenses as well as other special administrative projects. The Administrative Assistant will be the back up to the Executive Assistant when required.
**What will you do?**
- Manage administration needs of identified Senior Leadership team including Calendar Management, schedule key meetings, arrange regular operating mechanisms, travel arrangements and expense reporting
- Management of reception and guests/visitors on site including incoming calls, incoming and outgoing mail and maintaining the front reception
- Assist with company functions/events including travel, logistics, catering. This includes offsite/onsite meetings, sales conferences.
- Fleet Management including lease extensions, returning vehicles, insurance issues, Fuel cards, eTag's, registrations and overall management and queries from employees
- Travel queries including new employees set up in the system, travel authorization queries, travel booking & itinerary queries or issues, travel policy guidance and travel correspondence with account manager and employees
- Credit Card management of receiving/distribution/follow ups
- Company Apparel guidance/management/distribution
- Assist EHS with EHS Procedures/setup/management
- Assist Facilities with communication/backup/coordination of both employees & contractors, including inducting contractors
- Concierge assistance for all employees, visitors, managers to guide them to the correct area/department/person to assist them with their query.
**How will you get here?**
- Previous experience in managing Reception and/or office management
- Previous experience in providing administrative support to executive level
- VCE, further education in Certificates in Office Administration, Medical Reception, Secretarial Studies.
- Solid computer skills
- Transparent and reliable
- Can follow through and be accountable for their work
- We are a busy organisation, you will need to be resilient and not be afraid to ask questions
- Good Prioritisation skills
