This role provides dedicated, proactive secretarial assistance to the Employment and Insurance practice groups in our Melbourne office. You will be instrumental in supporting fee earners by managing litigation heavy administrative workflows, drafting essential legal documents, communicating with key stakeholders (including courts and clients), and overseeing billing and business development tasks.
Primary Responsibilities
* Document Production: Draft, format, and proofread legal paperwork and correspondence, ensuring high quality under lawyer supervision.
* External Liaison: Coordinate with court registries, counsel, and clients; manage the filing and e-filing process according to established protocols.
* Administrative Management: Organize calendars, manage mailboxes, and handle travel logistics. You will also lead the billing process, including invoice generation and expense tracking.
* Data Integrity: Maintain precise records within document management systems and assist with data entry for client reports and marketing efforts.
* Workflow Support: Track delegated tasks, manage external appointments, and proactively escalate complex matters when necessary.
Required Experience & Skills
* Background: Prior experience working as a Legal Secretary is required, 1-2+ years
* Expertise: Solid experience in litigation procedures, client service, and legal billing is essential.
* Systems: Familiarity with iManage and Elite 3E is an advantage, though not a requirement.
* Aptitude: Strong skills in managing professional correspondence and accurate digital dictation.
