Job Description
With a reputation for excellence, our expanding Continuing Care and Support Services division is seeking an experienced and motivated Medical Secretary to join our vibrant Camberwell consulting suites team. We have part-time and casual opportunities available. This front-facing administrative role supports the daily busy. Reporting to the Practice Manager, you'll play a key role in ensuring a seamless experience for both patients and clinicians. We're looking for someone who brings great energy and a genuine passion for helping others. You're a reliable team player with a friendly, professional approach, strong communication, and solid organisational skills. You thrive in a fast-paced setting and always put patient care first.
This role requires availability between 8:00am – 6:00pm on a rotating roster.
Key Responsibilities
* Deliver exceptional customer service with professionalism and attention to detail
* Manage the front desk operations including patient check-ins and payment processing
* Answer and direct phone calls with professional telephone etiquette
* Manage referrals and book appointments
* Maintain accurate and confidential patient records
* Prepare clinician schedules and coordinate daily communications (emails, faxes, messages)
* Liaise with internal departments and external healthcare providers
* Identify opportunities to streamline workflow and improve clinic efficiency
* Provide general reception and administrative support as required
* Contribute to a positive and inclusive team culture.
To be successful in this role, desirably you will have:
* Previous experience in medical reception or administration (mental health or specialist setting highly regarded)
* Excellent time management and multitasking abilities
* Intermediate computer literacy and a willingness to learn new systems (Genie experience desirable, training provided)
* Knowledge of Medicare and billing processes.
* A confident, calm phone manner and strong interpersonal skills.
* A proactive mindset with a commitment to continuous improvement
* Fluent in Mandarin (Highly desirable but not essential)

Epworth Continuing Care and Support Services incorporates our renowned rehabilitation, mental health and at-home hospital programs with essential support services. Our rehabilitation, mental health and at-home hospital programs are some of the most progressive of their kind in Australia. Our clinical approach involves interdisciplinary teamwork and decision-making to provide individualized treatment and achieve positive outcomes for patients. Our strong team ethos extends across our services at Epworth hospitals in Richmond, Camberwell and Hawthorn. Our support services play a critical role in the daily operations and experience at Epworth hospitals through our food environmental and security teams.
