Are you a highly organised, adaptable, and service-oriented professional? Do you excel in managing executive operations and fostering a well-supported office environment? We are seeking a dynamic Executive Assistant & Office Manager to join our National Support Office team and support our CEO and Executive Leadership Team (ELT).
About the Role
This dual-purpose role is pivotal in ensuring the smooth operation of both executive support and office management functions. As the central point of contact for the CEO and leadership team, you’ll handle a variety of tasks, including:
Executive Support:
- Managing the CEO’s calendar, prioritising meetings, and coordinating schedules.
- Monitoring and managing correspondence, including email and reporting tasks.
- Preparing CEO presentations and reports for key meetings and events.
- Coordinating Executive and Director travel, itineraries, and accommodations in line with policy.
- Supporting the Company Secretary in co-ordinating regular Board meetings.
- Organising and maintaining the National Meeting Planner.
- Taking and distributing minutes for key meetings and supporting follow-up actions.
Office Management:
- Overseeing office supplies, resources, and facilities to meet the team’s needs.
- Managing security protocols, staff inductions, onboarding, and offboarding processes.
- Ensuring compliance with Occupational Health and Safety (OHS) requirements, leading committee meetings, and maintaining accurate OHS records.
- Coordinating National Support Office office events, including workshops, team building activities, and the annual Christmas party.
- Liaising with contractors and suppliers to ensure a high standard of office maintenance and service delivery.
Additional Responsibilities:
- Helping Regional Councils to plan and conduct their meetings effectively, by securing venues and formalising agendas.
- Provide administrative assistance to the ELT.

- Proven success as an Executive Assistant and Office Manager.
- Strong proficiency in MS Office Suite, Outlook, and digital communication tools.
- Excellent verbal and written communication skills.
- Outstanding time management, organisational, and multitasking abilities.
- Experience with facilities and event management (highly desirable).
- Problem-solving and research skills to handle diverse challenges effectively.
Key Qualifications and Attributes:
- Relevant qualifications in Business Administration or similar (highly regarded).
- Discreet, professional, and able to manage sensitive information with integrity.
- A adaptable, collaborative mindset with a passion for delivering exceptional service.
